The greenest event decisions are usually made in the planning meeting, not at the buffet.

The short version
  • King V was launched on 31 October 2025 and applies to financial years starting on or after 1 January 2026, with more emphasis on double materiality in sustainability disclosure.
  • The carbon tax rate is R308/tCO2e from 1 January 2026, according to Anthesis and the World Bank's carbon pricing dashboard. Events aren't taxed directly, but the number is a useful price signal.
  • The JSE's Sustainability Disclosure Guidance is voluntary.
  • Travel and accommodation usually drive an event's footprint. Measure them with recognised factors, such as UK DESNZ's 2026 set, before you buy offsets or reusable lanyards.
  • ISO 20121:2024 is the management-system standard for event sustainability, if you want a framework.

Sustainability teams are now asking event teams for numbers. A procurement form wants the conference's carbon footprint. The integrated report wants Scope 3 data. A client brief says "green event" without defining it. The good news: the biggest emissions sources in a typical corporate event are easy to measure, and the biggest reductions are planning decisions you were going to make anyway.

The ESG landscape for South African events

FrameworkStatusWhat it means for events
King V CodeLaunched 31 Oct 2025; financial years from 1 Jan 202613 principles on an "apply and explain" basis, with a mandatory disclosure framework and more weight on double materiality. Events feed into the sustainability story.
Carbon Tax Act 15 of 2019R308/tCO2e from 1 Jan 2026 (Phase 2 to 2030)Not an event levy. Useful as an internal carbon price.
JSE Sustainability Disclosure Guidance (June 2022)VoluntaryDoes not create Listings Requirements obligations. Uses double materiality, with core and leadership metrics.
IFRS S1 and S2No mandatory SA adoption date foundThe JSE was reported to be revising its guidance to align. The ISSB amended IFRS S2 in December 2025.
GHG Protocol Scope 3Voluntary standardCategory 6 covers employee business travel. Where delegate travel sits is a judgment call.
ISO 20121:2024Published April 2024Event sustainability management system for events of any size. Self-declaration, supplier validation or third-party certification.

South Africa also has older government guidance: the event greening guidelines written for COP17 in 2011. None of these makes a sustainable event mandatory. Together, they mean the questions keep coming, and an event team with a defensible number is in a better position than one with good intentions.

King V: why the timing matters

Webber Wentzel reports that King V was launched on 31 October 2025 by the IoDSA and the King Committee, effective for financial years commencing on or after 1 January 2026, with early adoption encouraged. It reduces the principles from 17 to 13 and puts more emphasis on double materiality for sustainability disclosures. For a company with a calendar year-end, 2026 is the first King V year, so the questions about conferences and incentive trips will show up in reporting cycles from early 2027.

The carbon tax: a price signal, not an event levy

The Carbon Tax Act came into effect on 1 June 2019 at R120/tCO2e (SARS). According to Anthesis, the rate rose from R236 in 2025 to R308/tCO2e from 1 January 2026, at the start of Phase 2, which runs to 31 December 2030. The World Bank's carbon pricing dashboard also lists R308 for 2026. We could not confirm the figure on a Treasury or SARS page, so treat it as well-sourced secondary information. Events aren't taxed on their footprint; the estimator below uses R308 only as an illustrative price.

Estimate your event's carbon footprint

Enter your delegate numbers, travel and venue electricity. The estimator uses UK DESNZ 2026 conversion factors and South Africa's grid emission factor.

Event carbon footprint estimatorDESNZ 2026 factors

Factors: domestic flight 0.22928 kg CO2e per passenger-km including radiative forcing (UK DESNZ 2026 'Domestic, to/from UK', the closest proxy for SA domestic flights); average petrol car 0.16152 kg/km (DESNZ 2026); South African hotel stay 51.4 kg per room-night (DESNZ 2026); SA grid electricity about 0.94 kg/kWh (2023 grid emission factor, as reported by Green Building Africa). Excludes well-to-tank emissions, catering, freight, waste and materials. A screening estimate, not an audited inventory.

Run the default numbers and you'll see the pattern: flights dominate as soon as a meaningful share of delegates fly in. Forty return flights of 1,000 km each come to about 18 tCO2e, more than the default car travel, hotel nights and venue electricity combined.

Where an event's footprint comes from

SourceFactor usedBasis
Domestic flight0.229 kg CO2e per passenger-kmDESNZ 2026, UK domestic average passenger, with radiative forcing (0.136 without)
Average petrol car0.162 kg CO2e per kmDESNZ 2026
Hotel night, South Africa51.4 kg CO2e per room-nightDESNZ 2026 (same in 2025)
Grid electricity, South AfricaAbout 0.94 kg CO2e per kWh2023 grid emission factor of 0.94 tCO2e/MWh, as reported by Green Building Africa

Two notes on method. DESNZ guidance says to include the radiative forcing uplift for flights, which captures non-CO2 effects at altitude, so we do. And the UK "domestic" flight factor is a proxy: DESNZ doesn't publish South African route factors. We've left catering out because we couldn't find an official per-meal factor we'd stand behind.

Delegates arriving at a Gauteng conference venue by train and shuttle bus
Getting delegates to the venue is usually the biggest slice of the footprint, and the biggest opportunity.

Practical ways to cut the footprint

Travel and venue choice

  • Put the event where the delegates are. If most attendees are in Gauteng, a Johannesburg or Pretoria venue saves more than any amount of reusable signage. Our Pretoria event planning guide lists options.
  • Shuttle from a hub. Lifting car occupancy from one to three people cuts car emissions by two-thirds. Try it in the estimator.
  • Offer a strong virtual option for far-flung delegates. On a 1,000 km route, each return flight avoided saves about 460 kg.
  • Cut a night where you can. At 51.4 kg per room-night, 100 delegates staying one night less saves about 5 tCO2e.

Venue and production

  • Ask for metered electricity data at contracting stage, so the estimate uses real kWh.
  • Reuse sets and staging, and choose digital signage over single-use printed branding.
  • Write sustainability into supplier briefs, including caterers, so you get data back, not just promises.

Reporting it without greenwashing

A footprint estimate is only useful if someone can check it. Keep the inputs (delegate travel survey, hotel invoices, venue meter readings), state the factors and their source, and say what you excluded. If your company reports under the GHG Protocol, the sustainability team decides where delegate travel sits; classifying event attendance as Scope 3 is a judgment call, not a rule. The JSE guidance and King V both lean on double materiality, so the honest story includes how the event affects the environment, not just how climate risk affects the business.

For a governance angle, the same ESG themes now appear at the AGM: the 2024 Companies Act amendments require a social and ethics committee report there. See our conference and meeting planning services. Our corporate event budget guide covers budget, and the 2027 corporate event calendar helps you avoid peak-season travel. For production, B&W Productions' corporate events team can build reusable sets into the brief.

Frequently asked questions

Do corporate events pay carbon tax in South Africa?

Not directly. We found nothing in the sources we checked that taxes an event's footprint as such. The 2026 rate of R308/tCO2e, reported by Anthesis and the World Bank, is useful as an internal price to show what an event's emissions would be worth.

When does King V apply?

King V was launched on 31 October 2025 and applies to financial years commencing on or after 1 January 2026, with early adoption encouraged, according to Webber Wentzel.

Is ESG reporting mandatory for JSE-listed companies?

The JSE's June 2022 Sustainability Disclosure Guidance is voluntary and says it does not create obligations under the Listings Requirements. We found no mandatory South African adoption date for IFRS S1 and S2.

How do you calculate an event's carbon footprint?

Multiply activity data by emission factors: passenger-km flown, km driven, hotel room-nights and kWh of electricity. The UK DESNZ 2026 factors give 0.229 kg CO2e per passenger-km for a domestic flight (with radiative forcing), 0.162 kg per km for an average petrol car and 51.4 kg per South African hotel room-night. South Africa's grid factor is about 0.94 kg per kWh.

What is ISO 20121?

ISO 20121:2024 is the international standard for event sustainability management systems, published in April 2024. It applies to events of any type and size, and allows self-declaration, supplier validation or third-party certification.

This guide is general information, not legal, tax or reporting advice. Emission factors are screening estimates, and tax rates and reporting rules change. Confirm the position with SARS, your auditors or sustainability advisers, or a qualified attorney before you rely on these figures in a report.
