Choose an event format around your objective
Start with the audience and the outcome
A useful event brief begins with what should change after the event. A conference may need to share a strategy and create space for questions. A team-building programme may focus on relationships between departments. A launch needs a clear product story, while an awards evening needs accurate recognition and a well-paced show. Choosing the format first, without agreeing the outcome, can leave an impressive event disconnected from its purpose.
Tell us who is attending, where they are travelling from, your preferred dates and the decisions already made. Include the expected guest count, accessibility requirements, dietary needs and any internal approval deadlines. If the budget is still being developed, identify which elements are essential and which could change. That gives the planning team a practical basis for comparing options instead of quoting on assumptions.
Bring venue, production and guest logistics together
The venue affects more than the room hire. Access times determine when suppliers can build; ceiling height and power availability affect production; and the floor plan shapes seating, catering and movement between sessions. For Johannesburg and Gauteng events, travel between offices, hotels and the venue also needs to fit the programme. A site visit should test the proposed layout and operating schedule, not simply confirm that the space looks suitable.
Some briefs combine services. A conference can finish with a gala dinner, or a product launch can include an exhibition area and a streamed presentation. Plan those transitions as one programme so that registration, technical rehearsals, catering and staffing support each other. Confirm responsibilities with each supplier and retain a clear version of the schedule for the team delivering the event.
Turn the brief into a workable plan
Before committing, compare what is included in each proposal: equipment, crew, transport, venue access, rehearsal time and any overtime conditions. Keep a contingency allowance separate from confirmed costs. Our guides and calculators can help structure these early conversations, but final budgets depend on supplier quotations and the agreed scope. Share your brief with us when you are ready to connect the creative concept with the practical delivery plan.
