Event Seating Calculator & Room Capacity Planner
How many guests will fit in your venue? The answer depends on the seating arrangement. A room that seats 200 for a cocktail reception might only hold 80 for a formal banquet. Our free calculator lets you enter the room dimensions and instantly see the capacity for 8 different seating layouts.
Each layout includes an efficiency adjustment for aisles, AV equipment, and emergency exits — giving you realistic numbers to work with when planning your South African corporate event.

Frequently Asked Questions
What seating arrangements does the calculator support?
The calculator supports 8 common layouts: Cocktail (standing), Theatre/Cinema, Classroom, Banquet (round tables), U-Shape, Boardroom, Cabaret, and Herringbone. Each uses industry-standard space-per-person ratios.
How accurate are the capacity estimates?
Estimates use standard space allocations per person for each layout type, adjusted by an efficiency factor that accounts for aisles, columns, AV equipment, and other practical obstructions. They provide a reliable starting point, but always confirm with your venue manager and check local fire code regulations (SANS 10400 in South Africa).
Can I switch between metric and imperial?
Yes. Toggle between metres and feet at the top of the calculator. All calculations are performed in metric internally and converted as needed.
Does it account for fire safety regulations?
The calculator includes an efficiency factor that reduces raw capacity to account for required aisle space and exits. However, you must always verify final capacity with your venue's fire safety certificate and local municipal regulations.
Seating Layout Tips for SA Event Planners
Theatre vs Classroom: Theatre gives the highest capacity but no writing surface. If attendees need to take notes or use laptops (common in corporate conferences), go with classroom — it halves your capacity but keeps everyone productive.
Banquet Round Tables: The standard in South Africa is 1.5 m (5 ft) round tables seating 8–10. For a comfortable dinner with good conversation flow, seat 8 per table. For award ceremonies where maximum attendance matters, seat 10.
Fire & Safety Compliance: SANS 10400-T governs occupancy loads in South Africa. Always confirm your calculated capacity against the venue's fire certificate. Municipal fire departments in Johannesburg, Cape Town, and Durban may require inspection for events over 250 guests.
Hybrid Events: If your event includes a live stream or camera crew, reserve 10–15% of the floor area for AV production — cameras, sound desk, and cable runs. This is especially relevant for conferences in Sandton and Cape Town CTICC.
